S03 - Information Assurance for Records Managers
Compliance, records management, knowledge and information management, information security, all form part of Information Assurance. This is having an impact upon the records management community and records managers need to know about it. In his presentation, Paul will establish the links between records management, the Information Assurance Maturity Model (IAMM) and the Security Policy Framework (SPF).
My Business unit at DSA of 16 staff dealing with Compliance, Records Management, Knowledge and Information Management and Information security, as such I have a reasonably detailed understanding of the linkages to RM.

S04 - Implementing Records Management in Social Work Department With No budget and No Technology
On 25 August 2008, Dumfries & Galloway Council successfully rolled out a records management system to 1400 staff, at no cost, and with no extra resources. It has successfully withstood a reorganisation at both the corporate level and at service level and has the buy-in from all staff.
It wasn’t rocket science - we even saved money. How did we do it? We will be discussing:
- Design
- Classification
- Retention Schedule
- Overcoming objections and possible stumbling blocks
- Overcoming negative attitudes from IT
- What lessons we learned during training and how we applied these lessons
- Purest versus pragmatic records management approach
- Buy-in
- Management support
- Implementation
The work that has been carried out will lead to an easy migration to EDRMS should the Council decide to pursue this route at a later date. I’ll also be looking at some of the key points from our recent external review e.g. lessons learned and savings.
I will make no pretence - it wasn’t easy - but it’s very satisfying to see the end result with coordination of classification, file plan, naming convention and templates, across a huge geographical region. You can do it too.

S07 - Records Retention Implementation
The development, by the RMS, of the Local Government Classification and Retention Scheme (LGCRS) has sparked debate in both public and private sectors. The concept of providing a retention scheme as a reference tool that provides legal fact is much misunderstood.
Just how can it be implemented and how much additional work is required to be done to turn the LGCRS into a bespoke retention schedule? Can it be used by every organisation to provide a basis on which to build their records management programme?
This session discusses practical issues regarding the implementation of records retention in all organisations, whatever their sector, and provides examples of how the concept has been implemented within both sectors.

S08a - How to Undertake a Records Audit Using Limited Resources
In this case study, Alex will explore a methodology, used in a local authority, through which staff themselves undertake information audits, covering its associated benefits and risks, the role of communication and training in its success and how to adapt it in other organisations.
The presentation will also include how information gained from the audit has been used to develop a key records management programme and get buy in from senior managers.

S09 - Documents to Digital: The future of Records Management
This session will cover the challenge of document modernisation, how EDRM supports the Council’s wider Information management strategy and the accomplishments of London Borough of Hackney (LBH) as an aspiring Local Authority. It will discuss the positive and negative impacts on staff and the Council’s bottom line, as well as considering how the Council will build on this platform to drive efficiency savings. LBH has worked with TNT Business Solutions to deliver off-site storage and scanning facilities and this session will demonstrate how this public private partnership has enabled the information ‘overhaul’ required at Hackney in order to move to full digital working and a ‘Service First’ customer centric approach.
S10 - Data Protection: Implementation of the New Powers of the Information Commissioner
Senior Policy manager Dawn Monaghan from the ICO will inform delegates of the recent changes to the Information Commissioners powers, the introduction of penalties and the impacts this may have in the future. She will also cover the key issues and considerations of data sharing, and the interfaces between Data Protection and the Freedom of Information Act.

S11 - Records Management and the Role of the Chief Information Officer in the Public Sector
Babis will explore the records and information management process in the public sector and the role of the Chief Information Officer (CIO). In particular, he will highlight aspects of the CIO role that identify areas of concern as well as the challenges somebody in that post faces. Furthermore, the presentation will discuss the status of the CIO and the relationships with the other members of the executive hierarchy. Finally, the projects that CIOs in the public sector are currently running in their organisations, the technologies they use and the way they combine different techniques to serve the records and information management process will be discussed.

S18 - What is Eating Your Collections?
Pest control is often a reaction to the discovery of insect activity and damage. The aim of Integrated Pest Management (IPM) is to provide practical, safe and cost-effective methods to prevent collections and buildings from being damaged by pests. The major causes of deterioration are the effects of temperature, humidity, insects and moulds. All of these factors are inter-related and the IPM approach is to look at the whole picture rather than to react to each crisis.

Over recent months, TSol have upgraded their financial systems, implemented e-procurement and on-line authorisation of in-bound invoices as well as introduced an electronic document management system for invoices.

Whilst recent high profile data security breaches in UK government departments have shocked the public, they are not ‘news’ to those working in our field. In most cases, these breaches have been a result of simple human error, and in every case there was no technical defence which would have prevented them occurring. This session is open to all who have a burning question about records management to ask it to their peers and hear their answer. All questions are valid as long as it is about information and records management! They can be practical or more strategic. They can be about paper records or digital records, about staffing levels, about responsibilities, about retention, about file plans, about qualifications... You make up the agenda by asking! For the session to be successful, there must be a willingness for all participants to share their knowledge and experience. It maybe that nobody has the definite answer, but at least the question would have been asked! Any unanswered question will be posted on the records-management-uk listserv after the conference for the wider IRM community to answer. Join in, get asking, get answering!
